What services are exactly included in the tour price?

Transparency is key. Included in your quote are all services listed in your final itinerary: accommodation, breakfasts, specific activities, tours, local guides, and mentioned internal transfers.

Not Included (unless specified): International flights, meals not listed as “included,” travel insurance, tips for guides/drivers, personal expenses, and potential excess baggage fees.

What is the process to confirm a reservation and when do I get my documents?

The path to confirmation has three steps:

  1. Acceptance: You confirm your interest in the itinerary and quote in writing.
  2. Deposit: You make the non-refundable deposit payment.
  3. Confirmation: Once the deposit is received, we book all services.

Timeline: You will typically receive your final confirmation, including booking numbers and detailed travel documentation, within 3 to 5 business days after the deposit is paid.

What payment methods do we accept and are there extra fees?

We accept international bank transfers and credit card payments (Visa, Mastercard, Amex).

  • Fees: Credit card payments are subject to a gateway commission fee (usually 3% – 5%). Bank transfers generally do not incur additional charges from our side.
  • Process: We will send you a secure payment link or our banking details.
  • Final Payment: Must be made 30 days before the trip starts, unless a different high-season policy applies.

How does the price change if our group size gets smaller or someone cancels?

It depends on the timing, but generally, two things happen:

  1. For the remaining group: Because most operational costs (private transport, guides) are fixed per vehicle or group, a smaller group means these costs are shared among fewer people. This typically results in an increase in the price per person for those still traveling.
  2. For the person canceling: Individual costs (such as their specific hotel room) can be deducted from the total if you notify us before the final confirmation and full payment. However, if the change is made after services have been reserved and paid for (especially less than 30 days before the trip), cancellation charges or non-refundable fees from providers may apply. We will always send an updated quote for your approval reflecting these changes.

II. Logistics: Flights, Transfers & Preparation

How far in advance should we book domestic flights?

To secure the best rates and schedules, we recommend booking domestic flights as soon as possible after your itinerary is confirmed.

  • Recommendation: At least 45 to 60 days before the trip.
  • Note: Estimated fares in quotes are references and are subject to airline availability.

Can we bring extra or oversized luggage on domestic flights?

Yes, but it requires planning. Baggage limits vary by airline. Extra or oversized luggage will always incur an additional cost, which is paid directly to the airline at the airport or, in some cases, can be pre-booked by us. Please check your specific airline policy in your documentation.

Where will I find meeting points and pick-up times?

Precision is part of our service. All specific meeting points and exact schedules for activities and tours are provided in your Detailed Final Itinerary, which is emailed to you approximately one week before your trip.

Is there a minimum number of participants for the trip to run?

For most of our private trips, there is no minimum—we operate even for a single traveler. However, if your itinerary includes specific shared group tours, a minimum may be required. This will be clearly stated in your initial quote.

III. On The Ground: Safety, Support & Flexibility

Who do I contact if there is a flight delay or emergency?

If you experience a significant delay or an emergency, do not rely solely on your driver. You must immediately contact the Impulse Travel 24/7 Support Team via the WhatsApp number provided in your travel documents.

  • Our Protocol: We evaluate the situation and coordinate with guides/drivers to reschedule your pickup or adjust plans so you don’t have to worry.

Is travel insurance included?

No, travel insurance is not included by default as it is a personal choice based on individual needs. However, Impulse Travel requires that all travelers have adequate insurance covering medical issues and cancellation/rescheduling for your own peace of mind.

Can we modify a tour or experience once we are there?

Flexibility is our added value. As long as there are no unrecoverable costs for the original service, most activities can be modified to suit your rhythm, interests, or physical condition. Please communicate with your travel designer or guide as early as possible.

Can we make a quick stop for lunch during long transfers?

Absolutely. Our private transfers are designed for your comfort. Just let your driver or guide know you’d like a quick meal or rest stop.

Note: If the stop exceeds 30 minutes, it may incur an additional cost, so it is best to communicate this to your travel agent in advance to avoid surprises.

What is the protocol and 24/7 contact number I should use if I have an emergency during my trip in Colombia?

For any emergency or urgent need, you must immediately call our 24/7 Support Number, which is prominently displayed in your travel documentation (usually a WhatsApp line). Our protocol is to assess the situation and mobilize the necessary resources, whether that involves coordinating medical assistance, adjusting your itinerary, or facilitating communication with family or embassies.

Can we arrange special surprises (e.g., for a honeymoon)?

We would be delighted to. Whether it’s a bottle of wine in the room or a specific detail for a celebration, please tell your travel designer in advance so we can coordinate the surprise with our partners.

Who are my guides and when will I get their contact info?

To ensure you have the most current information, we provide the names and contact details (including WhatsApp) of your assigned guides and drivers in your Detailed Final Itinerary, sent just before your trip.

How does my trip generate a positive impact?

We prioritize tourism that regenerates. Your investment directly benefits the artisans, chefs, musicians, and community leaders who open their doors to you, ensuring your visit is a genuine conversation with the culture rather than just a tour.
